Administrative (Marketing) Assistant
Part-time (20-30 hrs/week)
Hourly pay $10-$12

Reports to Executive Director and Marketing Manager

Job brief

They are looking for a zealous Administrative Assistant to support the Executive Director and Marketing Committee for the Theater at the Fort & Arts for Lawrence in its primary and administrative duties.

Job Duties

Administrative Assistant responsibilities include greeting the public from the front desk, answering the phone, preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel. Knowledge of Bloomerang, Firespring or Aplos software a huge plus! If you have previous experience with a non-profit arts organization they’d like to meet you. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to- day operation of their office.

Responsibilities

  • Answer and direct phone calls
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Submit and reconcile box office reports
  • Provide general support to visitors
  • Support marketing committee in organizing various projects
  • Employ marketing techniques to gather important data (social media, theater surveys, community outreach)
  • Assist in the organizing of promotional events and traditional or digital campaigns and attend them to facilitate their success
  • Prepare and deliver promotional materials
  • Compose and post online content on the company’s website and social media accounts
  • Communicate directly with patrons and encourage trusting relationships

Requirements

  • Good understanding of office management systems and procedures
  • Demonstrable ability to multi-task and adhere to deadlines
  • Excellent knowledge of MS Office, various social media platforms, and website management
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Comfortable on Apple operating systems
  • High School diploma; BS in Marketing, Business or relevant field is a strong advantage
