Part-time job

Big Car’s Administrative Manager specializes in making ideas a reality in our work using creativity to build community. The Manager collaborates with all Big Car staff and focuses his or her efforts in three areas of work: volunteer, event, and program coordination, and general administration. In each of these areas, the Program and Administrative Manager provides critical support to ensure Big Car’s capacity to serve its community is maximized.

Volunteer, Event and Program Coordination: 60% of time

  • Serve as Big Car’s volunteer liaison / coordinator for individuals and volunteer groups
  • Serve as liaison to the community at The Tube in Garfield Park
  • Coordinate community events that lead to increased donors, volunteers and other supporters
  • Act as lead events logistics coordinator for facility rental and community events at The Tube and Listen Hear

Fund Development: 5% of time

  • Enter new contacts and notes, update addresses and other information, merge duplicate files, reset passwords in appropriate databases.
  • Coordinate organizational mailings

Administrative Responsibilities: 35% of time

  • Generate name tags, labels, and other materials for meetings and events
  • Provide staff support for meetings including taking minutes, booking meeting rooms and ensuring room set-up, and logistical support for other projects
  • Maintain organizational calendar, book meeting rooms, coordinate meeting handouts, and provide drinks and snacks
  • Help maintain office supply inventory at The Tube and Listen Hear
  • Respond to general information requests to info@bigcar.org and in-person at The Tube
  • Field requests for Big Car presence and participation at external events
  • Attend weekly staff meetings
  • Light cleaning

Education and Experience

  • Degree or equivalent experience in nonprofit management, program or event management
  • Fund development experience a plus
  • Community development experience desired

Required Skills and Abilities:

  • Comfort with many different types of software
  • Great communication (writing and speaking) skills
  • Willing to work with diverse stakeholders

Physical Demands and Work Environment

  • Must be able to lift at least 20 lbs.
  • Must be amenable to a non-traditional workplace, be able to work from home, and have own computer and phone

Tube Factory is a 12,000 square foot museum space curated based upon the themes of community, place, memory and mythology. They commission local, regional, national and international contemporary visual and musical artists, borrow artifact-based exhibits and create community-sourced exhibits.

A previously vacant former manufacturing building, it is now a thoughtfully renovated home base for Big Car Collaborative’s (www.bigcar.org) work as well as partnership-based community meetings and cultural events.
