Position Title: Special Events and Facility Rentals Manager
Department: Executive Office, IMS Museum
Reports To: President, IMS Museum
Location: IMS Museum Executive Office, 4750 W. 16 th Street, Indianapolis, IN 46222
FLSA Status: Non-Exempt, Full-time

SPECIFIC DUTIES:
●Provide excellent guest services to rental clients and guests, including and not limited to corporate
rental clients, IMSM and Penske Entertainment sponsors and VIPs, IMSM members, community
organizations and all other stakeholders.
●Aggressively pursue new IMSM facility rental business, including and not limited to corporate
meetings, special events/fundraisers for community stakeholders in for-profit and non-profit sectors,
hospitality and dinners, sponsor events affiliated with Penske Entertainment as well as external sports
and cultural destinations, and Indianapolis’ convention business.
●Set annual budget to maximize earned income opportunities.
●Work with IMSM colleagues to create new programming and new fundraising opportunities for the
Museum.
●Build and maintain IMSM facility rental schedule and coordinate closely and regularly with IMSM staff
– including curators, marketing, communications, and membership teammates – to ensure events
maximize the guest experience along with guest awareness of the IMSM brand, mission and goals.
●Participate as needed on planning committees for events, and other duties as assigned.
QUALIFICATIONS:
●Bachelor’s degree in hospitality services, marketing, or sales strongly preferred; will consider high
school diploma or GED with significant experience in sales and event planning (8 years or more).

●Minimum of four years’ experience in selling, coordinating, and managing special events and/or facility
rentals, with demonstrated success in developing, managing, and executing event sales campaigns.
Experience in managing a diverse group of employees and/or volunteers a plus.
●Must bring a high energy level and highly self-motivated, possess great attention to detail, problem-
solving skills and excellent communication, interpersonal and organization skills, and the ability to work
collaboratively with colleagues and clients. Must provide first-class customer service while managing
multiple projects.

•Must be proactive in the pursuit of networking and mutually beneficial opportunities with key
stakeholders in Indianapolis’ convention, events and entertainment industries—especially
Penske Entertainment marketing, sales and events staff—in order to maximize brand
awareness (for rentals) and revenue opportunities for the Museum.
●Must be physically able to lift and carry up to 30 pounds, and able to participate in setup and tear-
down for special events. Some walking and standing for long periods of time. Some exposure to
inclement weather during outdoor events.
●Ability to use technology to achieve desired results: Knowledge of/experience using Microsoft Office
products, facility rental software to plan and track events, provide appropriate customer service.
Familiarity with Caterease a plus. Become familiar with IMSM’s technology for client use and, with
approval from the President, expand the Museum’s tech rental assets as funds allow.
●Must be willing to frequently work evenings and weekends, year-round but particularly during
Indianapolis 500 activities and other IMS events. Flexible scheduling permitted.
●As a representative of one of the world’s premier automotive and motorsports museums, must have
enthusiasm and a commitment to the IMS Museum’s vision, mission, values, and goals.
•Must be a positive and visible ambassador for the Museum in the greater Indianapolis
community.
•Utilize budget goals not only to maximize revenue but to also add vital capital in pursuit of the
staff’s overarching goal to continually improve the Museum experience and build toward a future
expansion.
