JOB TITLE: Office Manager
DEPARTMENT: General Office
REPORTS TO: General Director

POSITION SUMMARY:
The Office Manager operates daily administrative functions relating to box office, marketing, development and
office needs. This does include assisting with special events and grant writing.

  • RESPONSIBILITIES:
  • Serve as point person for various office needs, including delivering mail, phone calls, and scheduling
    meetings.
  • Run day-to- day ticket office duties including process and print ticket orders ensuring those that need to
    be mailed go out, enter patron information into Patron Manager database, and manage database by
    verifying quality of information.
  • Generate box office reports to gain information on patron and donor history to help with forecasting.
  • Fluency in the Patron Manager System.
  • Prepare box office for special events, performances, or other functions.
  • Design email-marketing campaigns and manage social media outlets including the company newsletter.
  • Create surveys to collect useful data to help determine organizational trends within the community.
  • Record donations and administer corresponding acknowledge letters.
  • Administer grant applications including organizing calendar of grant deadlines, writing narratives,
    creating artistic documentation and ensuring all needed documents are attached to submit.
  • Organize office operations and procedures.
  • Provide general support to visitors.
  • Facilitate and manage website maintenance and updates.
  • Transcribe minutes from specific committee meetings
  • Other responsibilities as needed.

MINIMUM REQUIREMENTS:

  • Bachelors degree is preferred in Arts Management/Administration, Business Administration/Marketing,
  • Communications/Marketing or a related field. Must be responsible and not divulge personal donor information.
  • Candidate must have the ability to multi-task. Must have the ability to deal with many distinct personalities and handle difficult situations with flexible demeanor and decorum. A basic understanding of box office functions
    or have previous experience within a professional preforming arts organization is preferred. Candidate must also consent to a background check.

TECHNICAL PROFICIENCIES:

  • Proficiency in word processing, excel, and database software for both Mac and PC.
  • Strong organizational and administrative skills. Ability to multi-task is a must.
  • Excellent written and verbal communication skills.
  • Ability to work productively under time pressure and meet deadlines in a team environment.
  • Be a self-starter who can work independently

TIME REQUIREMENT:
Full time.
