Marketing and Communications Coordinator Job Description

The Arts Council of Indianapolis is an independent nonprofit dedicated to fostering meaningful and equitable engagement in the arts by nurturing a culture where artists and arts organizations thrive. As the arts advocacy and service agency for Indianapolis, the Arts Council is responsible for promoting Indy’s arts and culture sector by growing our reputation, creative economy, audience, and community engagement in ways that sustain a A Full Creative Life for All. The Arts Council is increasing its focus on marketing and communications to meet the evolving needs of Indy’s dynamic arts and cultural community and support the city’s inclusive growth, workforce, and economic development priorities.

To advance its mission, the Arts Council allocates public funding to arts and cultural organizations through the City of Indianapolis Annual Grants Program; administers artist fellowships including the Creative Renewal Arts Fellowship, the Robert D. Beckmann, Jr. Emerging Artist Fellowship, and the DeHaan Artist of Distinction Award; provides programs, services, and technical assistance for artists, arts organizations, businesses, and community partners; manages the city’s public art program including the Public Art for Neighborhoods initiative; supports arts education in partnership with Indianapolis Public Schools; hosts Start with Art - one of the largest annual business and arts events in the nation; and owns/operates the Indianapolis Artsgarden, Gallery 924, and IndyArtsGuide.org. The Arts Council is based downtown at 924 N. Pennsylvania and is co-located with Gallery 924 and The Cabaret theatre.

Reporting to the Director of Marketing and Communications, the Marketing and Communications Coordinator is a full-time staff position supporting the Arts Council’s internal and external marketing and communications platforms and programs.

Major Areas of Responsibility
The ideal candidate will be an energetic, creative team-player who demonstrates a positive growth mindset, a relentless commitment to equity and collaboration, an authentic love of all things Indy, active participation in Indy arts and culture, transparency, integrity, curiosity, and a drive for excellence and innovation. As a key member of the Marketing and Communications team, this role:

  • Coordinates the day-to-day implementation of the Arts Council’s digital communications and social media properties and programs including content creation, channel strategy, database management, distribution, and analytics. This includes content management of all arts council websites and online directories and ongoing training/support for arts organizations and artists related to data entry, images, and other digital assets.
  • Writes and/or edits a variety of content to support communications and marketing efforts.
  • Contributes to strategy development and coordinates the delivery of marketing programs,campaigns, and advocacy initiatives.
  • Designs and/or manages the design of agency publications, advertisements, and other collateral materials (both electronic and print).
  • Monitors website statistics and social media analytics and provides regular reports to Director, leadership team, and board.
  • Assists with media relations efforts including, but not limited to, writing press releases, maintaining media lists, responding to media inquiries, and coordinating media interviews.
  • Supports CRM administration (Salesforce).
  • Coordinates key publication partnerships and supplies monthly event listings.
  • Assists with special events including Gallery 924 openings and artist talks, Start with Art, Art & Soul, grant award ceremonies, and others as planned. This includes managing event social media and photography.
  • Serves as front desk/front line coordinator to welcome guests and field inquiries in-person and by phone related to IndyArtsGuide, Gallery 924, open artist calls, and event questions.
  • Supports Arts Council departments with marketing, communications, project management, and design needs as assigned.
  • Seeks and coordinates content and design reviews and approvals from internal and external stakeholders.
  • Manages and monitors calendars, project plans, schedules, and budgets. Recommends actions based on tracking outcomes.
  • Coordinates and prepares meeting agendas, reports, materials, and presentations.
  • Other duties as assigned.

Qualifications:

  • 2+ years experience in a communications or marketing role
  • Bachelor’s degree in Marketing, Communications, Journalism or a related field
  • Mission-driven with deep commitment to Arts Council’s purpose
  • Strong digital communications and social media expertise and experience
  • Experience in content marketing, data analytics, and CRM
  • Excellent written, verbal, and interpersonal skills
  • Superior time management and organizational skills and ability to meet deadlines
  • Ability to work both independently and as part of a team
  • Strong design aesthetic and ability to work with agencies, artists, and designers - graphic design, photography, and video editing capabilities a plus
  • Critical thinking skills, decisive judgment, and the ability to work proactively with minimal supervision
  • Must be able to work in a fast-paced, high-volume, dynamic environment
  • Must be flexible, adaptable, friendly, and open to feedback
  • Must be service-oriented, working as an “in-house agency” supporting multiple internal and external stakeholders and partners
  • Team player who enjoys collaborating to accomplish a dynamic set of priorities
  • Experienced with tech platforms including GSuite, Salesforce, PowerPoint, Excel, Word,
    MailChimp, HootSuite, Zoom, Adobe Creative Suite, and others
  • Ability to work some nights and weekends
  • Energetic self-starter with strong attention to detail
