JOB DESCRIPTION

The Art & Design Coordinator performs administrative tasks unique to the Department of Art & Design, Christel DeHaan Fine Arts Center Gallery, Dee Schaad Student Gallery, University of Indianapolis Permanent collection and UIndy Sculpture Walk.  This multifaceted position works closely with the Department Chair, faculty, students, and outside persons.

RESPONSIBILITIES

  • The Art & Design Coordinator is essential in assisting 9+ faculty, 120+ majors, and numerous minors and non-major students in numerous tasks that ensures that all are successful, each year.
  • The Coordinator is expected to attend and participate in all department meetings.
  • Work with the Department Chair and faculty regarding meetings, schedules, coping, maintaining files, archiving publications, assisting students and faculty with needs/questions, responding to department correspondence, opening facilities when needed, assembling mailings, processing accounting requests/credit card reports, assist chair with budget and faculty contracts, assist with registration, and typical office related tasks.
  • Work with faculty on numerous department and university projects and reports (AQIP, Matrix, NASAD Accreditation & HEADS Survey).
  • Prepare for and manage various events and exhibitions throughout the year, including coordinating with faculty, students and campus services; collecting and assembling needed data; sending announcements and scheduling times; managing acceptances; managing installation and deinstallation of exhibitions, ordering food for receptions, coordinating shipping and receiving, etc.
  • Manage and order office supplies, VCD supplies and Photo supplies (lab toner & paper), ceramics clay materials and glazes, Printmaking supplies, Sculpture supplies and other needed materials as needed.

  • Maintain Figure Drawing Models, schedules, payment, and employment advertising.
  • Check out department tools and equipment to students. Opens labs, studios, and galleries during building open hours and closes labs and studios at closing time. Manages keys and key codes for labs and studios.
  • Manage studio and lab schedules for classes each semester. Submits repair tickets for needed items, such as electrical, plumbing, HVAC and ventilation.
  • Assist the curator in managing and cataloging the University’s Permanent Collection and the UIndy Sculpture Walk.

QUALIFICATIONSAt least one year experience in an office- or customer service-related position.
A high school diploma or GED is required.
Proficiency with Microsoft Office applications.
