Big Car’s Business Manager works with leadership staff to facilitate all aspects of the organization’s financial and budgetary operations and reporting requirements.  The Business Manager adheres to (and assists staff and board with adhering to) Big Car’s board-approved fiscal policy.  The Business Manager contributes to the Big Car mission by insuring that Big Car’s financial dealings are efficient and fully accountable to internal and external stakeholders such as the Big Car board of directors, contractors, partners, government agencies, and funders.

Responsibilities

  • Manage day-to-day finances (accounts payable & receivable) in cooperation with contracted accountant and staff; gather documentation for all expenditures and income
  • Work from Tube Factory artspace during office hours in cooperation with other Big Car staff
  • Oversee facility rental program for Tube Factory artspace including generating rental contracts and working with potential renters
  • Liaison with Big Car’s contracted accountant on matters of payroll, payroll taxes, other payroll liabilities, and property taxes
  • Perform bi-weekly payroll, collect W-9s and issue 1099’s for Big Car contractors
  • Lead a staff time-tracking effort in conjunction with Big Car’s annual budget and allocate salaries within QuickBooks
  • Participate in the setting of the annual budget and project budgets
  • For the benefit of staff, the board and grant-makers, institute and manage a system for reporting monthly P&L, budgetary and cash summaries for significant Big Car projects
  • Assist staff with preparing budgets for grant application and grant final reports
  • Assist staff with grant tracking and follow up as needed on financial elements
  • Run financial reports for board meetings and offer helpful financial reports to staff
  • Work with CEO and Board Treasurer to monitor investments
  • Serve as main staff liaison with Big Car’s hired auditor
  • In collaboration with staff, generate memos of understanding and contractor agreements
  • Generate MOUs and contracts with clients, partners, and manage the business relationship through timely communication and accurate reports
  • Download charitable donations to Big Car from Stripe, to QuickBooks to Blackbaud
  • Fulfill annual reporting requirements and submit organizational updates to Indiana Secretary of State
  • Manage leases and liaison with Big Car tenants and utility companies as well as accounts, such as security and internet
  • Liaison with Big Car’s insurance agent and carriers
  • Oversee financial aspect of all sales operations, including cash deposits, reconciling inventory, tracking and reporting FAB and sales taxes, and updating relevant permits

Education and Experience

  • Bachelor degree in accounting, business administration or nonprofit management required
  • Master degree in the above fields preferred
  • 3-5 years work experience in a related field
  • Experience working in a nonprofit accounting environment strongly desired

Required Skills and Abilities:

  • Excellent skills in digital file organization, communication, detail-oriented work
  • Expertise with software tools such as QuickBooks, Google Drive, Excel, donor databases, and others
  • Appreciation of Big Car’s mission and work environment
  • Great communication (writing and speaking) skills
  • Willing to work with diverse stakeholders

Physical Demands and Work Environment

  • Must be able to lift at least 20 lbs.
  • Must be amenable to a non-traditional workplace in a co-working environment
